From first call to your team's flight home, this is what working with AAR looks like.


How does Alpe Adria Retreats work?

We work with companies in five stages:

1. Discovery call (30 minutes)
We talk. You tell us about your team, the moment you're trying to create, your dates, budget, and constraints. We tell you whether AAR is the right fit. No proposal yet - this call is to make sure we're aligned before either of us spends time writing.

2. Proposal (within 5 working days)
You get a written proposal: recommended signature experience, recommended base locations, sample agenda, transparent budget with all inclusions, and a clear list of what's not included. One number. No hidden line items.

3. Design and planning (4 to 12 weeks pre-retreat)
Once you say yes, we go into planning. Regular check-ins on a shared planning document. Decisions made in writing. You don't chase us - we keep you updated on what's locked, what's pending, and what needs your input.

4. The retreat itself
Your team arrives. Our host is on the ground from day one to departure. One point of contact for your team, one point of contact for you. We handle vendor coordination, venue issues, last-minute changes, and the small daily things that would otherwise eat your time.

5. Aftermath
Within two weeks of the retreat, you receive a recap document with photos, agenda summary, and key moments. We also offer a 30-minute debrief call - what worked, what didn't, what we'd do differently next time.

We recommend booking 3 to 6 months ahead for best venue availability. Shorter timelines are workable for smaller groups in specific venues. We'll be honest if a timeline will compromise the experience.

  • All ground transport (airport shuttle, transfers, on-day)

  • Activity design, booking, and  coordination

  • Communicating dates and headcount internally

  • Personal expenses outside the agreed agenda

When should you contact us?

  • 3 to 6 months before your ideal dates is the sweet spot.
    Venues are available, the design has room to breathe, and we can build the retreat your team actually deserves.

  • 6 weeks to 3 months out is workable.
    Venue and date flexibility tightens, but we can still deliver a strong retreat.

  • Under 6 weeks is possible for smaller groups (under 20 people) in specific venues.
    We'll tell you honestly whether the timeline will compromise the experience.

  • Over 6 months out is welcome.
    Larger groups, peak seasons, and the most in-demand venues benefit from longer lead times.

FAQ

Ideally 3 to 6 months. Spring and autumn (May-June, September-early October) are peak retreat seasons and venues book up.

Most of our retreats run between 12 and 50 people. We work with groups from 8 up to 100 for the right brief. Our sweet spot for the Alpine Story and Adriatic Story is 15-40; for Alps to Adriatic it's 15-50.

Most of our clients are based elsewhere - across Europe, North America, and beyond. The retreat happens in Slovenia and Croatia. The companies booking it can be from anywhere.

English is our working language for clients. Our team also speaks Slovenian, Croatian, Spanish and Italian.

Our host is your single point of contact and is empowered to make decisions on the spot. Vendor change, weather issue, medical situation - it gets handled without your team needing to know it happened.

Yes. Extended workation days are a paid add-on and we will be happy to help you organize it.
